Our goal is to provide high-quality, engaging virtual speech therapy while ensuring a smooth experience for families.

Below are the key policies that help keep our services effective and accessible.

 

Attendance & Scheduling

At CloudSpeech, we hold a reserved therapy spot for each client. Our policies help ensure smooth scheduling for all families while keeping therapy consistent and effective.

Cancellations & No-Shows

Less than 24 hours’ notice: Full session fee applies.

More than 24 hours’ notice: You must reschedule within 14 days during regular clinic hours or it counts as a no-show.

Extended absences: If you need to miss more than one week, provide 14 days’ notice. If you take a break longer than three weeks, your spot will be released, and you may rejoin via the waitlist.

Insurance does not cover no-show fees.

Running Late?

✔If you are more than 15 minutes late, the session is considered a no-show and will be billed in full.

✔If you arrive late but within the first 15 minutes, the session will continue for the remaining time.

Need Time Off?

✔Breaks up to three weeks are allowed, but the cancellation policy still applies.

✔If you plan to pause therapy for more than three weeks, your account will be placed on hold, and you can rejoin via the waitlist when ready.

CloudSpeech offers flexible, pay-as-you-go scheduling with no long-term commitments. Our policies are in place to respect both our clients’ time and our therapists’ schedules, ensuring everyone benefits from a structured yet flexible system.

 

Insurance & Payments

Do You Accept Insurance?

✔ CloudSpeech is in-network with Blue Cross Blue Shield of Texas.

✔ For all other plans, we are an out-of-network provider and can provide superbills for reimbursement.

✔ Families can also use HSA/FSA funds for payments.

Does Insurance Cover No-Shows or Cancellations?

❌ No. Clients are responsible for no-show and late cancellation fees.

What’s Included in the One-Time Onboarding Fee?

✔ Account setup & intake paperwork

✔ Client portal access

✔ A quick-reference guide with session details & therapist contact info

✔ Superbill setup for insurance reimbursement (if applicable)

How Do I Get Started?

✔ Step 1: Parent Consultation (20 minutes) – Discuss concerns, review logistics, determine if CloudSpeech is a good fit.

✔ Step 2: Welcome Visit (20 minutes) – A fun, interactive session with your child to assess communication skills.

Evaluation Process

✔ Conducted over one or two sessions depending on the child’s needs.

✔ Includes a summary report with individualized therapy recommendations.

 

Privacy, Security & Communication

How Is My Privacy Protected?

✔ CloudSpeech follows strict HIPAA compliance to ensure confidentiality.

Text Message (SMS) Policy

✔ Text reminders are used only for appointments.

✔ No data is shared with third parties.

✔ If you prefer not to receive SMS reminders, let us know and we’ll update your preferences.
